Define Scope

Define Scope is the process of writing a complete account of the product and the project (PMP) . The best thing about this method is that it spells out the limits of work and requirements for the product, service, or result. Below is a picture that shows the inputs, tools and methods, and outputs of this process.

Since the project might not include all the requirements found in Collect Requirements, the Define Scope process picks the final project requirements from the record of requirements made in Collect Requirements. Then, it writes a full account of the project and its outcome, service, or product.

Creating a detailed project scope statement builds on writing down the project’s main outputs, assumptions, and limitations at the start of the project. We define and explain the project scope in more detail as we learn more about the project during the planning phase. Checking to see if existing risks, assumptions, and limits are complete, and adding or changing them as needed. The Design Scope method can go through a lot of steps. In iterative life cycle projects, a big picture goal for the whole thing is made, but the specifics of the work that needs to be done are decided on a per-iteration basis. As work on the current project’s deliverables and scope progresses, so does planning for the next iteration.

  • The standards that will be included in the scope are listed in the requirements documentation.
  • There are response plans in the risk register that could change the project scope. For example, to avoid or lessen a risk, the project and product scope could be shrunk or changed.

Some of the business environment factors that can affect the Define Scope process ( define scope of work ) are the organization’s mindset, its infrastructure, how it manages its employees, and the state of the market.

Policies, procedures, and templates for a project scope statement are some of the organizational process assets that can affect the Define Scope process. Other assets include project files from previous projects and lessons learned from previous stages or projects.

Expert Judgment

Advice from people or groups who know about or have worked on similar projects before should be considered they can help in define scope of work.

Data Analysis

This process can use a variety of data analysis methods, such as options analysis. You can use alternatives analysis to look at different ways to meet the charter’s standards and goals.

Decision Making

You can use a decision-making method like multicriteria decision analysis in this process, but it’s not the only one. When you use a decision matrix in multicriteria decision analysis, you can set criteria like requirements, plan, budget, and resources in a structured way. This helps you narrow down the project and product scope.

Interpersonal And Team Skills

The skill of facilitation is an example of an interpersonal and team skills practice. Workshops and working sessions with key stakeholders who have different expectations or areas of knowledge use facilitation. The goal is for people from different departments to agree on what the project’s deliverables are and where the lines between the project and the result end.

Product Analysis

You can describe products and services with the help of product research. It involves asking questions about a product or service and coming up with answers that explain how it will be used, what its features are, and other important details.

Project Scope Statement

The project scope statement lists the main outputs, assumptions, and limits of the project. The project scope statement lists the whole scope, which includes the project scope and the product scope. It goes into great detail about what the project will achieve. Furthermore, it helps everyone involved in the project have a clear picture of what it involves. It might have clear scope limits that can help you manage what stakeholders expect. Along with helping the project team plan more thoroughly, it also guides their work during execution and gives them a starting point for figuring out whether requests for changes or extra work are within or outside the project’s limits.

Depending on how detailed the project plan statement is, the project management team may be able to better keep track of the whole project. The full project scope statement has the following in it, either directly or by referring to other files:

  • Product scope description
  • Deliverables
  • Acceptance criteria
  • Project exclusions

It’s possible to think of the project plan and the project scope statement as having some of the same information, but they actually have different amounts of information. The project charter has general information in it, while the project scope statement goes into more specifics about the parts of the scope. These parts get more detailed as the project goes on.
